What this policy covers

This policy explains how Architect Pro collects, uses, stores, shares and protects information when you use our website, practice workspace and connected services, including Google integrations.

Information we use

We use information you provide to create and manage your account, including your name, email address, organisation details, client information, project information and documents you choose to provide to Architect Pro.

If you sign in with Google, Google provides the account information required to create or access your Architect Pro account. Architect Pro does not receive or store your Google password.

Google user data

Architect Pro allows users to optionally connect their Google account to enable features including calendar integration and project correspondence monitoring.

When you enable the Gmail integration, Architect Pro uses the Gmail API with read-only permission to access email messages that may relate to your planning applications, building warrant applications or other Architect Pro projects.

This may include email metadata such as the sender, subject, date and message identifiers, together with email content where necessary to determine whether correspondence relates to an Architect Pro project.

Architect Pro uses this information to identify project-related correspondence and detect updates such as application validation, requests for additional information, decisions, approvals, refusals or other relevant communications from planning and building standards authorities.

Relevant information may then be displayed within the associated Architect Pro project and used to assist with project status, deadline and workflow management.

Architect Pro's Gmail integration is read-only. Architect Pro does not use Gmail access to send, modify or delete your email.

How we use information

We use information to provide and operate Architect Pro, authenticate users, manage projects, provide connected features, secure and improve the service, respond to support requests, communicate important service information and meet applicable legal obligations.

Google user data is used only to provide or improve the user-facing Architect Pro features for which access was granted. We do not sell Google user data or use Google user data for advertising, profiling for advertising, or unrelated purposes.

Data storage and protection

Architect Pro takes reasonable technical and organisational measures to protect personal information and Google user data against unauthorised access, use, alteration, disclosure or loss.

Data transmitted between your browser, Architect Pro and our service providers is protected using encrypted HTTPS/TLS connections. Access to stored application data is restricted to authorised systems and users who require access to operate the service.

Authentication credentials and access tokens used to connect external services are not exposed to other Architect Pro users and are handled separately from your Google account password.

Gmail message content is accessed only when required to perform the correspondence-monitoring feature. Architect Pro does not permanently store complete Gmail message bodies after processing. Relevant project information derived from correspondence may be retained within the associated Architect Pro project.

Sharing of information

We do not sell personal information or Google user data.

Information may be processed by service providers that support the operation of Architect Pro, such as hosting, database, authentication and infrastructure providers, where necessary to provide the service.

Information may also be disclosed where required by law, regulation or a valid legal process.

Google API Services User Data Policy

Architect Pro's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Retention and deletion

We retain account and project information while your account or organisation workspace remains active and for as long as reasonably necessary to provide the service, maintain security, comply with legal obligations and maintain appropriate business records.

You may disconnect your Google account from Architect Pro or revoke Architect Pro's access through your Google Account settings. You may also request deletion of personal information associated with your Architect Pro account, subject to applicable legal and record-keeping requirements.

Your choices and rights

You may ask us to access, correct or delete personal information associated with your Architect Pro account, subject to applicable legal requirements.

Google integrations are optional and can be disconnected if you no longer want Architect Pro to access the associated Google services.
